Migration Test User Selection

VIDEO TRANSCRIPT | Recorded: 2025-10-27 | Verify against current system state

Abstract

UAT preparation session for Salesforce migration. Team selects 25+ test users with extensive membership history (NP, student, postmaster types) by querying subscription counts. Discovers merged accounts causing duplicate subscriptions dating back to 2000. Creates right rev order batches for specific test cases, identifies orders already in Salesforce vs needing import, and establishes process for verifying order status (draft, pending, activated).

Key Procedures

  • Query subscription purchases grouped by subscriber to find users with most memberships
  • Filter by membership types (NP=6, Student=7, Postmaster) for diverse test set
  • Exclude outliers and staff accounts from test population
  • Cap at users with <15 subscriptions to avoid merged account complications
  • Create right rev sequenced order batch for test users
  • Check order master table for already-imported orders
  • Verify order status in Salesforce (draft, pending, activated)
  • Import missing orders from scratch, track partially processed ones

Notable Statements

  • 0:03:25 "So we need 25 people with lots of memberships."
  • 0:12:00 "This subscription was purchased many, many times since 2000."
  • 0:12:21 "They kept dropping off. So they weren't on auto renew."
  • 0:12:48 "It's possible they could have just bought ahead... Oh, I bet I know what it is... it's a merge."
  • 0:14:17 "I think they were merged multiple times."
  • 0:14:23 "There's nothing we can do about that though, right? We can't go through and clean up all those subscriptions from 20 years ago."
  • 0:22:40 "They're too old. Because we're only taking the last four years or something like that."
  • 0:30:14 "A lot of them are already included in system because of all the other imports we've done."

Systems & Configurations

Systems Mentioned

  • Salesforce (order status tracking)
  • Aptify (subscription history, merged accounts)
  • SQL Server (queries, batch creation)

Specific Configurations

Item Value/Setting Timestamp Notes
Test User Count 25+ 0:03:25 Diverse membership types
NP Membership Product ID 6 0:10:55 For filtering
Student Product ID 7 0:15:43 For filtering
Subscription Cap <15 0:14:45 Avoid merged accounts
Import Window Last 4 years 0:22:40 Standard batch scope
Already Imported 16 of batch 0:28:34 Already in Salesforce

Credentials/Access Mentioned

  • SQL Server access for queries
  • Aptify read access
  • Salesforce order verification

Errors & Troubleshooting

  • Issue: Users with 30+ subscriptions
  • Cause: Multiple account merges over years
  • Resolution: Cap selection at <15 subscriptions, accept merged data as-is
  • Timestamp: 0:12:41

  • Issue: Orders not in charge order batches

  • Cause: Orders older than 4-year window
  • Resolution: Join to order table, expand date range if needed
  • Timestamp: 0:22:40

Transcript Gaps & Quality Notes

  • UAT preparation with Matt and McKenna
  • Complex SQL queries built live
  • VPN connectivity issues throughout
  • Jeff had to leave; team continued verification
  • Follow-up needed to complete order status review
